1. Who we are
The planned operator is TroviX Education (Pvt) Ltd, whose company registration is pending. This draft does not represent it as an incorporated entity. [[FINAL_OPERATOR_AND_CONTRACTING_ENTITY_PENDING_REGISTRATION]] The proposed published address is "Senavila", R.L.B Track 1, Saliya Ashokapura. [[CONFIRM_COMPLETE_POSTAL_ADDRESS_CITY_POSTAL_CODE_COUNTRY]] Contact: support@trovix-edu.com.
These Terms apply to your use of our website (https://trovix-edu.com) and web application (https://app.trovix-edu.com), together the "Service". By creating an account, joining an organization or using the Service, you agree to these Terms. If you are accepting on behalf of an institute, you confirm you are authorised to bind it.
These Terms should be read with our Privacy Policy and Refund Policy.
2. What the Service is
The descriptions below reflect reviewed source capabilities. Exact deployed feature availability must be verified before publication. [[VERIFY_EXACT_DEPLOYED_FEATURE_AVAILABILITY]]
TroviX is an online tuition-management platform. Organizations can use it to manage:
- students, parents, teachers, classes, subjects and enrollments;
- teaching classrooms and class schedules;
- attendance, including QR-code attendance pages;
- fees, student payments, ledger records and teacher payouts;
- in-app messages, inbox and notifications; and
- organization settings, members and roles.
Things to know:
- Classrooms come first. An organization must create at least one classroom before it can create schedules. TroviX does not create classrooms automatically.
- TroviX is a record-keeping and operations tool. It helps institutes record fees and payouts; it does not collect tuition fees from parents or pay teachers on an institute's behalf.
- Web-based. The Service is accessed through a web browser. We do not currently offer apps in the Apple App Store or Google Play, or a WhatsApp bot.
- Early stage. The Service is new and may change. Some features may be in trial, beta or limited release, and may change or be withdrawn.
3. Accounts, organizations and roles
- One login, many organizations. Each person has one user account. The same account can be a member of several organizations, with a different role in each.
- Roles. Roles include: - Organization owner — controls the organization, its subscription and its members; - Organization admin — manages day-to-day operations as permitted by the owner; - Teacher — works with the classes, attendance and messages they are given access to; - Parent — views information and messages about their linked children, as the organization allows; - Platform administrators — TroviX staff who operate and support the Service.
- Organization context. Access is designed around the selected organization and role. Users must not seek access to records they are not authorized to view.
- Your account security. Keep your login details private, use a strong password, and tell us promptly at support@trovix-edu.com if you think your account has been misused. You are responsible for activity under your account.
- Accurate details. Give accurate information and keep it up to date.
- Age. You must be at least 18 to create an independent account. Students do not currently have dedicated TroviX login accounts; institutes and linked parents/guardians handle student records.
4. Public organization onboarding
An institute can sign itself up through our public onboarding. The person who signs up becomes the organization owner (or first admin) and confirms that they are authorised to act for that institute. We may verify an organization, ask for more information, or decline or remove a sign-up that appears false, duplicate or abusive.
5. Responsibilities of organizations (owners and admins)
If you run an organization on TroviX, you are responsible for:
- Lawful collection. Having a lawful basis under Sri Lankan law, including the Personal Data Protection Act No. 9 of 2022, to collect and upload data about students, parents and teachers.
- Notice and consent. Telling students, parents and teachers how their data is used and, where needed — especially for students who are minors — obtaining consent from a parent or guardian.
- Accuracy. Keeping student, parent, teacher, attendance, fee and payout records accurate and up to date, and correcting errors when you become aware of them.
- Need-to-know data. Only adding data you actually need to run your classes.
- Member access. Inviting only appropriate people, giving them the right roles, and removing access when someone leaves.
- Your dealings with others. Your own fees, refunds, payouts, contracts and communications with students, parents and teachers. TroviX is not a party to those arrangements.
- Responding to requests. Handling requests from students, parents or teachers to access, correct or delete their data. We will help where reasonable.
6. Subscriptions, trials and payments
- Plans and entitlements. Access to features depends on the organization's plan and entitlements (for example, limits on students, members or features). Plan details are shown in the app or in our quote or invoice.
- Trials. The trial lasts one calendar month. Trial feature scope must be confirmed with the final plan information. We will not charge you without your agreement. [[APPROVE_FINAL_PLANS_PRICES_BILLING_PERIODS_AND_TRIAL_SCOPE]]
- Fees. Fees are in Sri Lankan Rupees (LKR) unless agreed otherwise. Tax inclusion, VAT/SSCL applicability and invoicing treatment remain pending company registration and tax-status confirmation. [[CONFIRM_TAX_STATUS_AND_PRICE_TAX_TREATMENT]]
- How to pay. Subscription payment methods will be identified when you subscribe. Hosted subscription billing exists in source, but live PayHere activation and any manual payment arrangements remain unconfirmed. Tuition records are not payments collected by TroviX. [[VERIFY_LIVE_SUBSCRIPTION_PAYMENT_METHODS]]
- Billing period and renewal. Subscriptions renew automatically for the agreed billing period unless cancelled before the next renewal. Billing periods and prices must match the approved offer; no monthly or annual price is established by this draft.
- Late payment. A 7-day payment grace period applies after the due date. After notice, unpaid subscriptions may have paid features limited or suspended. Late payment does not itself delete records; see the Privacy Policy.
- Price changes. We may change prices. We will give at least 30 days' notice and changes will apply from your next billing period.
7. Cancellation and refunds
- An organization owner can cancel at any time by contacting support@trovix-edu.com or, where available, through billing settings. Cancellation stops future renewals; access continues until the end of the paid period.
- Refunds are covered by our Refund Policy. The initial paid-subscription refund window is 7 days from the first paid subscription payment. An unused or not meaningfully used renewal may be reviewed if requested within 3 days after renewal. No standard prorated refund applies after the initial window; exceptional refunds or credits may be considered case-by-case.
8. Acceptable use
You must not:
- use the Service for anything unlawful, fraudulent or harmful;
- upload data you have no right to use, or data about children without proper authority or consent;
- harass, threaten or send abusive, discriminatory or sexual content, especially to or about students;
- send spam or unsolicited bulk messages through messaging or notification features;
- try to access another organization's data, another user's account, or parts of the Service you are not permitted to use;
- probe, scan or test the security of the Service without our written permission, or interfere with its operation;
- upload malware, or overload the Service (for example, through automated scraping or excessive requests);
- copy, resell, rent or reverse-engineer the Service, except as allowed by law; or
- misuse QR attendance pages, for example by recording false attendance.
We may remove content, limit access or suspend accounts that break these rules (see section 12).
9. Your data and content
- You own your data. Organizations and users keep ownership of the data they put into TroviX ("Customer Data").
- Our permission to use it. You give us permission to host, store, copy, process and display Customer Data only to provide, secure, support and improve the Service, and as described in our Privacy Policy.
- Aggregated data. We may use aggregated or de-identified data that does not identify any person or organization to understand and improve the Service.
- Data requests and downloads. Available data may be provided on reasonable request where operationally supported. No full CSV/Excel or self-service organization/account export is promised. Source-supported downloads include student-card PDF and tuition invoice/payout statement printing or browser PDF saving; deployed availability must be confirmed. [[VERIFY_DEPLOYED_DOWNLOAD_AVAILABILITY]]
10. Intellectual property
The Service, including its software, design, logos, name and documentation, belongs to the operator or its licensors. The final contracting entity and intellectual-property ownership must be confirmed after registration. [[FINAL_OPERATOR_AND_IP_OWNERSHIP_PENDING_REGISTRATION]] We grant a limited, non-exclusive, non-transferable right to use the Service under these Terms while access remains authorized.
11. Service availability and changes
- We work to keep the Service available and reliable, but we do not promise it will be uninterrupted or error-free. We may need downtime for maintenance, updates or events beyond our control (such as power, internet or hosting outages).
- There is no standard service-level agreement or uptime guarantee. A separate enterprise agreement may provide different written service commitments.
- We may add, change or remove features. If we remove a major paid feature, we will give reasonable notice where possible.
- Keep your own records. You remain responsible for keeping copies of records you are legally required to keep.
12. Suspension and termination
- By you. Organization owners may cancel before the next renewal through billing settings where implemented or by contacting support@trovix-edu.com. Future renewals stop; paid access continues through the current billing period unless a refund changes that entitlement. Individual account closure may be requested through support and handled manually by authorized TroviX personnel.
- By us. We may suspend or terminate an account or organization if: you seriously or repeatedly breach these Terms; fees remain unpaid after notice; we need to do so to protect users, students or the Service; or the law requires it. Where reasonable, we will give notice and a chance to fix the problem first.
- If we stop the Service. We will give 30 days' notice where reasonably possible. Shorter or immediate action may be necessary for security, abuse, illegality or legal/regulatory reasons. The treatment of unused prepaid fees on discontinuation or termination without cause remains subject to final approval. [[APPROVE_DISCONTINUATION_AND_WITHOUT_CAUSE_REFUND_REMEDY]]
- After termination. Subscription cancellation preserves access through the paid period; account closure or termination may end access sooner. Account data is retained for 30 days after closure and organization data for 90 days after subscription access ends, then deleted or anonymized subject to legal retention requirements, as detailed in the Privacy Policy. Clauses intended to survive termination continue to apply.
13. Disclaimers
The Service is provided "as is" and "as available". TroviX is a tool to support tuition operations. We do not guarantee that reports, attendance records, fee totals, ledgers or payout calculations will be free of errors, because they depend on data entered by the organization and its members. Organizations should check important figures before relying on them for financial, tax or legal purposes. Nothing in the Service is financial, tax or legal advice.
14. Limitation of liability
To the extent permitted by Sri Lankan law:
- we are not liable for indirect or consequential losses, such as loss of profit, revenue, goodwill or data that could have been avoided by keeping your own records;
- we are not liable for losses caused by the organization's own data, decisions or dealings with students, parents or teachers, or by things outside our reasonable control; and
- Our ordinary contractual liability is capped at fees actually paid to TroviX during the previous 6 months. For free-trial or other no-fee use, the proposed cap is LKR 10,000, subject to liabilities that cannot lawfully be limited.
Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited. The proposed liability structure is approved subject to counsel review. [[COUNSEL_APPROVE_LIABILITY_CAP_AND_EXCLUSIONS]]
15. Indemnity
Subject to final counsel approval, an organization will cover reasonable third-party claim costs attributable to its unlawful use of TroviX, customer-provided content/data, infringement caused by customer-supplied material, breach of applicable law or material breach of these Terms. This is not an indemnity for all TroviX losses or matters unrelated to that conduct. [[COUNSEL_APPROVE_NARROW_CUSTOMER_INDEMNITY]]
16. Changes to these Terms
We will give 30 days' notice of material Terms changes through available channels. Shorter or immediate changes may be necessary for security, abuse, illegality or legal/regulatory reasons. We will post the revised Terms and last-updated date. You may cancel before a change takes effect; acceptance and enforceability remain subject to counsel review. [[COUNSEL_CONFIRM_TERMS_CHANGE_AND_ACCEPTANCE_PROCESS]]
17. Governing law and disputes
These Terms are governed by Sri Lankan law. The parties will seek a good-faith resolution for 30 days after a dispute is raised. Unresolved disputes may be brought before the competent courts of Sri Lanka; mandatory arbitration and exclusive Colombo jurisdiction are not required. Nothing prevents statutory or regulatory remedies that cannot lawfully be waived. [[COUNSEL_APPROVE_DISPUTE_PROVISIONS]]
18. General
- Whole agreement. These Terms, the Privacy Policy, the Refund Policy and any signed order or quote form the whole agreement between us. A signed order or written agreement prevails if it conflicts with these Terms.
- Transfer. You may not transfer your rights under these Terms without our consent. We may transfer ours as part of a reorganization or sale of our business.
- Severability. If any part of these Terms is found invalid, the rest continues to apply.
- No waiver. If we do not enforce a right straight away, we can still enforce it later.
- Language. English is the initial and controlling contractual version. Sinhala/Tamil translations may be added later; they are not currently promised.
- Notices. We may send notices to the email address of the organization owner or the user. You can send notices to support@trovix-edu.com.
